  • Choose Google Workspace if your team is fully cloud-native, values simple real-time collaboration above all, and doesn't rely on advanced Excel or heavy formatting.

Apps and documents

Microsoft 365 gives you the full desktop versions of Word, Excel, Outlook, and PowerPoint alongside their web versions. If anyone on your team builds complex spreadsheets or formatted documents, this is a real advantage.

Google Workspace is web-first. Docs and Sheets are fast and collaborative, but power users often hit limits with large or complex files.

Email

One thing worth knowing: eligible non-profits can get Microsoft 365 at a steep discount or free, which often tips the decision.

Security and compliance

This is where Microsoft 365 tends to pull ahead for regulated Alberta businesses. Its security and compliance tooling — conditional access, advanced threat protection, data-loss prevention, and detailed audit logs — is deep and well-suited to firms handling sensitive data under PIPA, Alberta's Health Information Act, or professional-conduct rules. Google Workspace is secure too, but Microsoft's compliance ecosystem is generally more comprehensive.

When is it worth migrating?

Migrating platforms is disruptive if done badly and seamless if done right. It's usually worth it when:

  • Your current suite is fighting your team instead of helping (constant format issues, clunky workflows).
  • You've outgrown your security or compliance needs.
  • You're consolidating tools and want everything — email, files, chat, meetings — in one ecosystem.

A rushed migration is how businesses lose email history and trust. A proper one is invisible to everyone except the person who runs it.
